Workflow redesign

Once there’s a clear view of how AI is currently being used, the next question is straightforward: What should change? In many cases, the issue isn’t a lack of tools, but lack of structure. Workflows evolve quickly and AI often gets added in ways that solve immediate problems but quietly create new ones.

Workflow redesign is the process of stepping back and reshaping how work actually happens. This means looking closely at each step: Where decisions are made, where information is transmitted, and where AI is helping or getting in the way. Some uses are strengthened, others are removed; often, things are simplified.

Decisions about AI should be made consciously. Where it supports speed or consistency without distorting outcomes, it stays. Where it introduces ambiguity, rework, or over-reliance, we scale it back or remove it. Human judgment is central, especially where context, nuance, or accountability matter most.

This results in a more coherent way of working. Fewer duplicated efforts or hidden dependencies. A better balance between what people do and where AI can help. The next step is to put that structure into practice.
